Booking Process & Agreements

Ready To Book? – What Happens Next?

Once you’ve selected your dates, our booking process is simple:

1. Booking Form
We’ll send you an online booking form confirming your dates and pricing. Simply complete and submit it online.
2. Booking Summary
You’ll then receive an email with your booking summary, payment options, pickup/drop-off details, and your agreement (which needs to be reviewed, signed, and returned).
3. Securing Your Dates
Finally, secure your reservation with your deposit.

Payment Schedule Options

If booking for the year after next:
$1,000 USD / $1,300 CAD deposit
• Second payment (50% less the deposit) due 6 months prior
• Final 50% due 14 days before arrival

If booking 6–18 months in advance:
• 25% deposit at the time of booking
• Another 25% due 6 months prior to your vacation
• Remaining 50% due 14 days before arrival

If booking within 6 months:
• 50% deposit upon booking
• Remaining 50% due 14 days prior to arrival

Special Option:
Receive 5% off when you pay in full at the time of booking (for vacations booked over 6 months in advance).

Need flexibility?
We’re happy to set up a monthly payment schedule upon request.

Sending Your Payment
Deposits can be made by wire transfer through your local bank, or via online credit card payment (subject to a 4% credit card fee).

What Happens Next
Once your booking is confirmed, you’ll receive an online Discovery Form to complete at your convenience.

If you booked a Set Itinerary:
We’ll ask a few simple questions to help us prepare for your visit.

If you booked a Tailor-Made Itinerary:
The Discovery Form will explore your interests and preferences to begin crafting your personalized itinerary.
We’ll send you a draft for review and make adjustments until you’re completely satisfied.
We’re flexible and patient throughout this process — communication is key, and we’ll offer guidance whenever needed.

Booking Your Flights

Whole Cottage Bookings:
You can book flights that best suit your schedule. Nathan will coordinate your pickup time and location in the weeks leading up to your vacation.
We recommend flying into Heathrow Airport if you’re arriving on your vacation’s start date.

Shared Cottage Bookings:
Inbound:
Plan to arrive at Heathrow Airport between 7:00 AM and 10:00 AM. Nathan will greet you upon arrival.
If you plan to visit London before your stay, please return to Heathrow by the designated meeting time (which may be as early as 9:00 AM).
We recommend visiting London after your stay with us for smoother transfers.
If we anticipate a wait of 2+ hours, we’ll arrange a local taxi to bring you to the cottage ahead of other guests.
Outbound:
Aim for a 3:00 PM departure from Heathrow.
If you’d like to visit London afterward, we can arrange a transfer to your hotel — just let us know.
Should your airline adjust flight times, don’t worry — we’ll help you navigate any changes.

Gathering Your Preferences
About four weeks before your arrival, you’ll receive your Welcome Email filled with helpful details about your stay, along with your Online Preference Form.
This is your opportunity to share:
• Dietary requirements and dislikes
• Food and drink preferences
• Special occasions to celebrate
• Spa treatment choices
• Any medical conditions we should be aware of
• Any additional information you’d like us to know
All forms are sent via Google Forms. Each form must be completed in full before submission, as partial saves aren’t possible.
